  1. Record deposits on a quote or future invoice sale without raising the invoice value against a customer.

We manufacture a product and then install for a customer - with a deposit of either 50/50% or 30/30/30/10% at the point of approved sale. We are happy to create an invoice number but with a deposit on each sale this creates a "negative balance" and we do not want to create a sale until the final invoice has been agreed at installation. ie. a negative receivable.

Hi community, returning to the idea right now you could enter a Due Date that's the same as the Invoice Date (or set it to whatever the date is when the invoice is being approved and emailed).

Additionally if you'd like to specify the text that appears (such as 'This invoice is due upon receipt') you could either:

    • Add this into the ' Terms & Payment Advice (Invoice and Statement)' on a Standard invoice template, or
    • Add this text into the Footer of the invoice template on a Advanced branding theme
  3. In new invoicing, please revert the ability to edit the postal address 'attention' box, back to the same as classic invoicing. Property managers want the owner's name included in the invoice address, so for each invoice I produce, I need to change the person's name in the 'attention' box. Previously this could be done by clicking on 'edit address' within the invoice, but in new invoicing, I need to edit the address by going into 'contacts', 'edit ', 'addresses', 'edit address', 'update address', 'save'. Once this is done, the ability to email the new invoice disappears, and I have…

Hi everyone, thanks for continuing to tune into updates of the idea here. Taking feedback on board on information that's most helpful to our customers we've released improvements to the ‘Contact’ field within new invoicing.

We heard being able to edit and add the 'Attention to' for a contacts address was important, and we've now added this capability into the contact card so you can edit this in the billing or delivery address detail, on the fly.

Along with this; there's now a look up tool so you can easily search and select a contact's addresses, and we’ve added more lines to enter a contacts address if needed. We appreciate your engagement and letting us know what matters to you through product ideas.

  4. The Add Another Invoice link is not in the New Invoicing. This is really handy and it would be great if it could be reinstated. Thanks

  5. For a company that takes Direct Debits from customers and the receipt appears as one line on the bank statement it would be useful to be able to bulk match the receipt to multiple customers rather than having to manually select every invoice the receipt relates to. You could do this by being able to import invoice payments in the same way you can import invoices into Xero.

  6. Have less white space on new invoicing as it fills screen. The notes section which is in contacts 4000 chars make visable and editable on the new invoice page so we can see it whilst creating and invoice. We dont then have to keep jumping from one page to the next.

Hi team, taking a lot of our customers feedback onboard we've just released a new line item grid that encompasses many improvements our customers have been asking for. With this change, our product team have optimised padding, font size and column width, reducing the amount of white space and providing a more compact view. For many customers this means less scrolling and better visibility of the contents of fields like Account and Tax Rate which are now wrapped so you can see the full contents.

We value all the feedback we've received from customers as we keep developing this experience. Please continue to add your votes to what matters most to you, our product teams continuously lean into your feedback and trending ideas from the forums here as they plan more improvements.

  7. Having "quick find" on the billing address when entering a new contact through an invoice.

Hi community, we appreciate your ongoing engagement with us through the idea here. We've now released updates to the ‘Contact’ field within new invoicing - With the changes we’ve made, you can now look up and quickly find a contact delivery or billing address as you’ve been requesting. Other improvements we’ve made include; being able to enter more address lines, and an Attention to for each address on the fly.

Thank you for sharing with us through product ideas, here.

  8. New invoicing is missing the ability to select the default due date that is against the customer. I had to change the invoice date for a customer with set payment terms of 30 days from the invoice date and there were several suggestions listed but the old option to reset to default date was missing.

Quick roll out here 😊 the improvements for the date selector are now live to all users including the ability to Reset to default due date.

Just remember the default will be based on the setting in the contacts record, or if there is none saved this will default to the options set in your Invoice Settings.

Appreciate all your feedback and sharing with us through the idea here.

  9. I need to edit the email text, or select an alternative email template, to be used when an overdue invoice reminder email is sent.

Hi Paul, if you're not using all your invoice reminders atm, you could set up a separate Invoice Reminder for Invoices overdue versus those due by - You can use up to 5 Invoice reminders.

When you set up an invoice reminder you'll be able to set the email template that is used to send that reminder and it will only be used when that reminder is triggered.

  10. The email invoice button on the new invoice template has moved from a main button to now being in a sub menu in the three dots, adding a click to the work flow.

But Print PDF is still a button on the main invoice template.

In an era where email is preferred over a printed PDF in the post, it would be nice to retain both EMAIL and PRINT as main buttons on the new invoice system. Seems extra work when you are sending a whole load every day for bigger companies.

Not a separate button in itself, however we’ve released some new shortcuts that’ll save you all the clicks here!

Thanks for all sharing your flows and the efficiency you found in being able to easily select to email your invoices. Listening to our customers feedback we know improvements to reduce the amount of clicks for actions in new invoicing is important.

We’ve just delivered a range of keyboard shortcuts to new invoicing, that cut down the number of mouse clicks and help you perform actions on your invoice with some simple keyboard entry.

Now you can easily bring up the send modal within a Draft, Awaiting Payment or Paid invoice by typing Alt-Shift-M (or Opt-Shift-M on a Mac)

While you get used to the combinations of shortcuts our product team have added small prompts to highlight these in the product, and if you’d like to view the full list of…

  11. With the old invoice format—when you edit the invoice issue date, the due date doesn't change. When you edit the issue date with the NEW invoice format, the due date automatically changes. Not sure about others, but I don't want it to do that. I'll often issue an invoice in the first couple of days of the month but then immediately backdate it to the end of the previous month. I don't want the customer's due date to change. I change the due date back, manually, but again—it's more clicks.

Changing the issue date (and undoing the change to the…

Thanks for the feedback on the behaviour of the dues date, community. Our product team have implemented a change to this as of today, so now if you update the issue date after you've set a specific due date, it will not automatically update the due date when you make issue date changes.

We appreciate our customers have different expectations of the behaviour between issue and due dates in new invoicing - Along with other changes we're developing for the due date picker, we'll soon release the option to 'Reset to default due date' which will let you intentionally update the due date based on your invoice's contact's default due date (if set) or your organisations default due date, just by clicking this option.

  12. At the moment, when an invoice is sent using e-invoicing, the sent flag is not marked; they only show as sent if they were sent via email. This then follows through to the lists of invoices, giving a false impression that invoices were never sent, when they 100% have been.

Hi Freya, thanks for flagging this with us. We appreciate your feedback. We have reviewed your feedback and we recommend that you raise this with the Xero support team so they can get specific details and take a deeper look into why this is happening. You can raise a case using this link.

  13. Provide the ability to directly save invoice as a pdf like it did in classic invoicing, rather than opening it in Chrome and then having to click the download button etc, the old way was more efficient.

Hi everyone, as of today we have released a change to this process. Rather than opening the PDF in a new browser window, now when you click Print PDF in new invoicing the file will automatically download for you to Print from your device. We thank you for your feedback on this.

  14. When you invoice a new customer you get the option of "Add address" which is great to quick add their email address and postal address. Can this also include adding the phone number? Currently the only way to add the phone number is to go into contacts and add it that way but to me it is a much more important detail than postal address. If I need to chase up anything to do with the invoice i don't send the customer a letter, i call them so i do need to input their phone number and just want a…

Hi team, this is now possible. Within new invoicing you'll find we've enhanced the contact card that allows you to add or edit contact details on the fly. From this card you can now add or edit the Contact name, Email, Billing and Delivery address, and Phone number. 🙂

  15. Most businesses use certain payment terms, like NET 30, NET 45, NET 60, NET 90 days. When invoicing businesses with different payment terms, there should be a faster way to calculate the due date, rather than asking Google "45 days from today" or "60 days from today" and entering that as the due date.

It would be great to create pre-defined NET payment terms as part of the Due Date dropdown in Invoices. That way it would instantly adjust the due date based on the payment term selected for that invoice.

Yes, there is a way to set…

Hi team, while the pre-defined list of dates aren't selectable options, you can use the date entry shortcuts to quickly calculate the due date based on the Invoice date. For example to select 30 days from the invoice date you'd simple enter +30 or +30d in the due date field.

We have all the shortcuts listed in this Xero Central article

  16. I've noticed in the new invoicing that the account column disappears when it is saved. While I don't want the account column shown on the actual invoice, I use this saved version in Xero to check that the correct account has been selected. I will not switch to new invoicing until this option is available as it would be extra time to edit the invoice to see which account was selected. Classic invoicing is a much better experience in my opinion.

Thanks for staying tuned with us through the idea, here. As you may have seen when recently invoicing, we've released a new line item grid when the invoice is saved, and in view mode.

Along with other enhancements this encompasses moving details into their own columns including the Account column. We appreciate your feedback and sharing on how this change could improve the experience for you.

  17. The 'new' format has made it exceptionally tedious to accept payments and send receipts. PLEASE streamline it

    • Put the send receipt link back on the payment confirmation page
    • Allow easy tab/character type to select things
    • Open PDFs in browser with the print feature triggered like every other commerce website does. LESS CLICKS!

    Old Style.

    1) Approve the Invoice
    2) Click into payment section. Tab to select account (assuming current balance and date), tab to Reference to enter Check #, and click Add Payment
    3) Click 'Send Receipt' link to send an email invoice to customer (with additional upsell messaging)

HI team, appreciate your feedback here however there are a few ideas in the one. There was a recent change that we've made for the first point here where you'll find confirmation and option to send receipt is now shown once you've added a payment to an invoice.

In relation to printing an invoice - from feedback we received the team have updated this flow so now a PDF of the invoice will be directly downloaded when you click Print, rather than having to go to a separate browser tab. If you'd like this to be a direct action to print from the invoice itself you can follow and join this idea.

In relation to keyboard entry and tabbing through invoice fields, you can use Tab to move to the next field over and Enter will open the field so you can enter data. We have a larger idea

  18. The new invoicing email sends a detailed summary of the invoice as part of the email. We would like the option to opt out for this like the old email template. We like to breakdown our invoicing internally for reporting purposes but the client does not need a breakdown of line items, just a total. We use custom invoicing templates so that we dont show line by line breakdown and the new email overrides this. Please do not switch off the old invoicing module until this is fixed. Downloading an invoice and sending it through my emails is time consuming…

Hi everyone, we appreciate all the attention this idea has received and while I know this has been mentioned by others earlier in the conversation we wanted to confirm it is currently possible to remove the detailed summary from showing within the invoice email.

This is controlled within Email settings and updating your email templates for sales invoice.

If you open your template you'll see an option for 'Include action to online invoice and detailed summary'.

Having checked in with our team we have no plans for changing this flow in the short term, however this is a one time action so once you uncheck and save the template you'll find this removes this formatting from any invoices you send with the template applied.

  19. Set the calendar to Sunday to Saturday for everything, including Invoices. - Xero recently changed the Calendar for only the invoices. The week day now starts on Monday. I was informed this change was intentional and is currently not going to be changed back. Credit Notes, Recurring payments, quotes, bills, reports, literally everything else has the week starting on Sunday. This is very cumbersome for our business. My staff are constantly putting the wrong date on invoices. We operate at very high speeds because we have a lot of customers come in at a time, and a…

Hi team, we appreciate all the feedback we've received on the invoice calendar here. I want to confirm that our team have released an update and you'll find the calendar now runs Sunday - Saturday consistently with other areas of Xero. Thank you again for feeding back with us, here.

  20. New Invoicing - Due Date: entering +0 currently records the due date as 7 days from invoice date. This feature is useful when due date is same as invoice date. All other numbers work (eg +5, +6, +7 etc) but +0 does not. Please fix this.

Hi everyone, we appreciate your patience while we worked on developing shortcuts into new invoicing.

We have now released an update and you'll find you can use the same shortcuts you used to in classic such as +0 or 't'. Thanks for all your feedback on this here.
